Adding drivers and other staff to reservations marks them as unavailable during that whole time, and asks them to confirm their availability. They may also receive email and SMS reminders based on their contact preferences.
Here’s what it looks like to select staff for a reservation, location in the “Assignments” card:
So how do you get a person to show up in that search box?
After a person is invited to Farebox they’ll get an email allowing them to claim and login to their account. Once they do that their name will move from the “Pending invites” section into the “Active Users” section. If you can’t find them in the search box, make sure to confirm that they’ve accepted their invitation by visiting the “Users” side menu and making sure their name is in the right spot.
Once they’ve accepted their invite, you should also confirm that they’re bookable. If this “Bookable” checkbox is not active in their profile then they will not show up in the staff search.
Now that your user has been fully setup, add them to any reservation by creating a new assignment. You can also set their vehicle and role, which is especially useful if you commonly have more than one staff member on a vehicle at a time such as a tour guide or a bus aide. You can set a staff member’s confirmation status manually via the “?” dropdown. If you do nothing to change confirmation we’ll reach out to them and ask that they acknowledge the assignment.
After you choose the staff for your assignment you’ll typically see a “?” icon indicating that we haven’t heard from them yet as to whether or not they’ve acknowledges the shift.
Each user has a “notifications” section in their profile where they can control how assignment requests are received. Depending on their preferences we may send them an email or SMS notification for them to respond to:
