Quotes are required in order to collect payments from customers. Farebox reservations come with a flexible quotes module that allow you to specify exactly what your customers are paying for, accept variable deposits, add gratuity, add dollar amount or percentage adjusted fees and more. You can even use quotes if you don’t want to accept credit card payments online and still accept payments through cash, check or a 3rd party processor like a POS system.

For accepting online payments, see Setup online payments for more details.

Adding services and fees

You can add to your quote in 3 categories - Services, Fees, and Gratuity.

Services

Services are meant to capture the main service you’re providing, such as “Passenger Transport” or “Bus Rental”. You can describe the service and enter a dollar amount. Many business will only ever need to add one or two line items to services for their entire quote.

Fees

Fees allow you to add itemized addons to your quote, such as tolls, airport dropoff fees, food and drink, staff fees such as tour guides, etc. It is possible to enter fees as a fixed dollar amount or as a percentage of your subtotal, which is the sum of all line items in “Services”

Adding gratuity

When customers wish to pay gratuity, the gratuity item makes it easy to specify a dollar amount or percentage, with common percentages pre-calculated for you. Gratuity may be added at any point in a reservation, even after it has been paid in full or marked completed. Specifying gratuity along with a quote allows customers to pay in advance, while the Collect Remaining Balance feature allows you to add a gratuity and charge a customer’s card on file later. Like fees gratuity by percentage will only be calculated against the subtotal, or the sum of all services only.

How to accept payments

You can accept payments against your quote by specifying a Customer Payment Option. Your selection will affect how the customer view of a shared quote looks when a customer visits their reservation via the link from the share panel. You must Setup online payments in order for any options other than “None (confirmation only)” to be available.

With confirmation only you are able to simply capture when a customer agrees to their quote and itinerary while capturing payment some other way such as via cash, check, or via s POS system.
